Dear Theme Camps,
WELCOME! We have received your questionnaire and have your camp logged in our database. We, the Placement Team, will work hard to give every camp placement as close to what they ask for as possible. Your questionnaire will be our guide to your needs.
THIS LIST The email address of the person who filled out your questionnaire and any additional email addresses provided have been added to this announcement list. You can expect approximately 10 announcements between now and the event. This list will provide you with valuable information about what is new for this year, tell you how to take advantage of different opportunities, remind you of deadlines for additional information needing to be submitted , answer frequently asked questions and finally give you instructions on how to get placed on the playa. As a member of this list it is your duty to communicate this information to the rest of your group.
PLACEMENT We wait until every questionnaire is in before we place anyone. The deadline for submissions is July 1st. At that time we will begin by first placing large theme camps, villages and camps with special needs. By approximately August 1st the city will be planned and we will give you your address in Black Rock City. Between now and then do not wait for us to contact you. Proceed with your planning! We will call or email you after July 1st if we have any questions. If you continue to receive these important announcements and do not hear from us directly, assume all is well!Please do not email us asking for your placement. We will not know until late July!
CONTACTING US If you need to make any changes to your submission or have any questions email us at firstname.lastname@example.org. The Placement Team is waiting to assist! ( Please note that calling me directly can create a bottle neck and may slow down a response. ) If you do not hear back from us within a week please email again. We are confident that nothing other than the barrage of spam that accompanies our emails will keep communication from going any way but smoothly. You are welcome to call me in extreme cases.
CONTACTING YOU Every theme camp or village must have a "contact person". This person is responsible for speaking to us on behalf of your camp or village. All communication between us and your camp will go through this contact person only. It is critical to your successful placement that your contact person be informed, engaged and available via email or phone between June 15th and August 1st. It is also strongly recommended that your contact person be the first person from your camp arriving for placement in Black Rock City. In some cases this will be required. We assume that the person who filled out your questionnaire is taking on the role of contact person. If this is not the case we need to hear from both the person who filled out the questionnaire and the true contact person before we make any changes to our records.
Your contact person is also responsible for seeing that these announcements are passed along to your entire theme camp or village. It is HIGHLY recommended that every camp or village have more than just the contact person on this list to assist with information dissemination. It is clear from past history that the larger the camp the greater the need for additional people to help remind others of deadlines, dates and critical information. A request from the contact person is the only way we will add people to this list.
